From Excel take-offs to Xero: one system for a steel fabricator's whole job cycle
Quotes built by hand from steel take-off spreadsheets, stock and off-cuts tracked on paper, purchasing and Xero re-keyed separately.
Pulse Metal Fabrication: take-off import, quotes and invoices, off-cut inventory, purchase orders, suppliers and a two-way Xero link, plus a dedicated Task Tango operations officer.
A single, branded system live on the workshop's own cloud instance, with a 338-item steel catalogue and per-job profit and loss reporting in Xero.
The challenge
Dream Fabrication & Engineering fabricates and installs structural steel from its workshop in Derrimut, Melbourne. Like most fabricators, the office ran on a mix of tools that did not talk to each other: an ELEMENTS-style take-off spreadsheet for each job, a quote template in Word, stock lengths and off-cuts remembered rather than recorded, supplier orders by phone and email, and every invoice and bill typed again into Xero.
The result was slow quoting, material bought twice or cut fresh when an off-cut would have done, and no clear view of what each job actually cost until long after it was finished.
What we built
Task Tango deployed Pulse on a dedicated cloud instance for Dream Fabrication, then extended it with a fabrication module shaped around how the workshop actually runs. Every release was tested with the client and shipped to production the same day.
Take-off to quote in one step. Import a steel take-off from Excel to create or extend a quote; pick items from the catalogue and Pulse works out length, kilograms and price automatically.
Branded quotes and invoices. PDFs in Dream Fabrication's own navy-and-tan template, with detailed steel lines grouped into a single supply-and-install line the way the client presents them.
Inventory with real off-cuts. Linear steel is stored as individual pieces in millimetres; when material is allocated to a job, Pulse re-uses the best-fit off-cut before cutting a fresh length. A clean catalogue of 338 items with published unit weights.
Materials and purchasing. Accepting a quote seeds the job's material requirements; a planning board nets them off against stock and raises supplier-grouped purchase orders. Deliveries are recorded against dockets, so estimate-versus-actual cost is visible per order.
Supplier master and reorder automation. Supplier scorecards (spend, variance, on-time delivery), lead-time-based expected dates, and a one-click reorder view for items below their reorder level.
Xero, both ways. Invoices pushed as draft or approved with the PDF attached, purchase orders pushed as bills at actual delivered cost, payment status pulled back nightly, contacts matched so nothing is duplicated, and a Job tracking category so Xero reports profit and loss per job.
Compliance and people. ITP and SWMS forms with PDF output, a technician "My Jobs" view with photos and checklists, a weekly dispatch board, and the Pulse HR core for attendance, leave, payroll and time logging.
The team behind the software
Alongside the platform, Task Tango provides Dream Fabrication with a dedicated Marketing & Operations Support Officer who works inside Pulse every day: preparing quotes, scheduling site visits, handling enquiries, reconciling accounts and following up outstanding invoices, as well as running the company's social media and lead generation. Software and service from one partner, so there is one number to call.
Security
Because the system is internet-facing, it went through a full code-level security review: a central authorisation gate on every action, per-request identity, hashed and expiring session tokens, login rate limiting, restricted cross-origin access and the Xero secret encrypted at rest, all delivered as four hardening releases within the first week.
